Transport and temporary bridge storage for event material in Barcelona

Not all event material can go straight from the truck to the venue. Sometimes it arrives before the load-in window, or empty packaging needs storing while the event runs. That's where bridge storage comes in.

Event logistics are rarely just "pick up here, deliver there." The real calendar has gaps: material arrives a day before the venue opens its load-in window, the event runs for several days and it makes no sense to move boxes back and forth every night, or empty packaging has to come out of the hall during the show because there's nowhere to keep it on site. In all these cases, transport alone isn't enough: you need somewhere to leave the material for a few days.

On Set Transporte combines transport with bridge storage at our base in the Vallès: we collect the material, store it for as long as needed, and deliver it once the venue and the event schedule allow. This guide explains when it makes sense, what can be stored, and how it's organised.

Why transport and storage go together at an event

A trade-fair venue or an event space doesn't work like a warehouse: it has a specific access window, a loading dock shared with other exhibitors and, often, no interest in storing empty boxes for the days the event runs. If material arrives before that window, or if it has to come out of the venue without going straight to its final destination yet, it needs somewhere in between. That's the role of bridge storage: not a permanent solution, but the missing link between the outbound and the return transport.

Four situations where you need a halfway point

Material arrives before the load-in window

The supplier delivers the goods early, or transport from another city arrives a day before the venue allows access. Instead of leaving it waiting in the vehicle or scrambling for space at the last minute, we collect it and store it until the exact entry time.

A multi-day event

Trade fairs and congresses that run for two, three or more days don't need the material moved every night. Whatever isn't used daily — spare parts, backup boxes, extra furniture — is stored and brought over only when needed.

Storing empty packaging during the event

Once the stand is set up, empty boxes and covers are in the way, and many venues don't allow them to be left in the aisle or on the stand itself. We remove them as soon as set-up starts, store them, and bring them back in time for breakdown, with the same care taken when each piece was first collected.

After the event, until the next use

When the material doesn't go straight back to the client's premises — it's heading to another event, to a maintenance workshop, or there's simply no rush to collect it — we store it until it's needed.

What can be stored, and what can't

This isn't a service designed for hazardous or perishable goods, or for pieces that need controlled temperature or humidity without prior notice. If your material has special requirements, tell us when requesting a quote and we'll assess it case by case.

How it works in practice

  1. You tell us where the material is coming from, the event dates, the load-in and breakdown windows, and how much volume needs storing.
  2. We collect the material — with a van, box body with tail lift, or truck depending on volume — and take it to our base in Caldes de Montbui.
  3. We store it for the agreed time, in a covered, secure space.
  4. We deliver it to the venue within the event's access window, or wherever you tell us.
  5. If empty packaging needs removing during the event, we coordinate the pickup and the return with production or the stand manager.

Being less than 30 minutes from Barcelona and the Fira de Barcelona venues means bringing material back doesn't depend on a long drive: we can react the same day if the breakdown schedule changes. For the transport itself, see also our trade fair transport in Barcelona (Spanish-language page) and event transport (Spanish-language page).

What vehicle is used to bring material to storage

The same logic as any event transport: a van for boxes and material that fits standing up, a box body with tail lift (Spanish-language page) for pallets and heavy pieces, and a rigid truck (Spanish-language page) for large volumes. If you're not sure which you need, see the guide on which vehicle you need.

Price: transport and storage in a single quote

We quote the transfer and the storage together: transport based on kilometres and vehicle, and storage based on volume (per pallet or per m³) and the number of days stored. We confirm a fixed price before collecting the material, with no charges added halfway through the service. For a first idea of the transport cost, you can use our price calculator.

Information we need to prepare the service

Frequently asked questions about event material storage

How long can you store the material?

It's a bridge service meant for days, not months: anywhere from a few hours up to storing it for a multi-day event. For longer periods, get in touch and we'll check availability.

Is it a climate-controlled warehouse?

It's a covered, secure space at our operating base, not a climate-controlled facility and not specialised in artwork. If your material is sensitive to temperature or humidity, flag it before booking the service.

What kind of material can you store?

Flight cases, props, furniture, stand structure, boxes of technical material and empty packaging. We don't store hazardous or perishable goods, or anything requiring special conditions without prior notice.

Do you collect empty packaging during the event and return it for breakdown?

Yes. It's one of the most common jobs: we remove empty boxes and covers once set-up starts, store them, and bring them back for breakdown.

How is the storage price calculated?

It's added to the transport service based on volume (per pallet or per m³) and the number of days stored. We give you a fixed price together with the transport, with no surprises.

Where is the storage facility?

At our operating base in Caldes de Montbui, in the Vallès, less than 30 minutes from Barcelona and from the Fira de Barcelona venues. That means we can bring material back quickly if the venue's schedule changes.

Does your event need transport and somewhere to store material?

Tell us the dates, the volume and the load-in window. We'll prepare a quote that includes the transfer and bridge storage.
