Barcelona runs a packed year-round calendar of trade fairs, congresses, product launches, film shoots and corporate events. For exhibitors, production companies, agencies, stand builders and suppliers, moving the material isn't just a matter of taking a few boxes from a warehouse to the venue. You need to coordinate schedules, accreditation, access, the right vehicle, unloading and the later pickup.
Incomplete planning can end in waiting, rejected access, material that doesn't fit the vehicle, or a tail lift that was needed but never requested. This guide explains what information to prepare and how to organise transport for a trade fair or event in Barcelona.

Why event transport needs specific planning
Deliveries for trade fairs and events are usually subject to specific time windows. The vehicle may need to enter through a particular logistics access point, identify itself, wait its turn, or unload somewhere other than the main entrance.
The material itself can also vary widely:
- Stand structure and components.
- Audiovisual, lighting and sound equipment.
- Furniture and decoration.
- Display stands, counters and promotional material.
- Product for demonstrations.
- Boxes, pallets, tools and packaging.
- Production material, wardrobe or set pieces.
That's why it's worth hiring a transport service for events (see our Spanish-language page) that accounts for the whole operation, not just the distance between origin and destination.
1. Confirm the venue, hall, stand and access point
Saying just "Fira Barcelona" isn't always enough. Barcelona has several different venues and congress spaces, and even within the same venue there can be multiple halls, logistics doors and unloading areas.
Before requesting transport, it's worth confirming:
- The full name of the event.
- The venue and exact address.
- The hall number.
- The stand number or location.
- The vehicle access gate.
- The person responsible for receiving the goods.
- An operational contact phone number.
- The delivery date and time window.
The exhibitor or stand-builder's documentation usually contains this information. It's also worth checking whether the driver, the vehicle or the setup staff need prior accreditation.
2. Prepare a real list of the cargo
To recommend a vehicle we need more than just the number of boxes. Two loads with ten items can require completely different solutions.
The basic information should include:
- Number of items or pallets.
- Length, width and height of the largest pieces.
- Approximate total weight.
- Whether the goods can be stacked.
- Fragile or irregularly shaped material.
- Need for straps, blankets or other protective elements.
- Availability of a forklift or pallet truck.
- Need for a tail lift.
A general photo helps us understand the load, but it doesn't replace measurements and weight. If you're unsure, see our guide on which vehicle you need.
3. Choose the vehicle based on cargo and access
L4 van
The L4 van for urgent transport (Spanish-language page) suits boxes, promotional material, tools, technical equipment and loads that don't need a truck.
Its main advantage is agility. It can access and manoeuvre more easily, and it works well for urgent restocking during an event or for moving material between a warehouse, hotel, set and venue.
3,500 kg box body
The box body provides a closed, more regular space. It's useful for furniture, audiovisual equipment, bulky boxes and goods that need to travel protected.
When there's no loading dock, a tail lift allows pallets, flight cases and heavy pieces to be lowered in a more controlled way.
12 or 18-tonne rigid truck
For structures, many pallets, set pieces or large volumes, a rigid truck may be needed. Before booking it, check the access, the available height, the manoeuvring space and the unloading conditions.
If the job requires lifting the load from the vehicle down to the ground, a truck with a tail lift in Barcelona (Spanish-language page) can be requested.
4. Check accreditation and event rules
Each trade show can set its own schedules and procedures. The exhibitor or stand builder should check the event's specific documentation before confirming transport.
It's worth checking:
- Authorised set-up and breakdown hours.
- The procedure for requesting passes.
- The number plate that needs to be registered in advance.
- Maximum vehicle weight or dimensions.
- The time allowed in the unloading area.
- Traffic restrictions inside the venue.
- Required protective equipment.
- Rules for removing packaging and waste.
Fira de Barcelona has a platform for managing passes for stand builders and service staff. The specific accreditation requirements should always be confirmed for each event and edition.
5. Label the goods correctly
Every item should carry a legible label. At a trade fair it's not enough to write the company name: the material needs to be located quickly within the venue.
We recommend including:
- The event name.
- The exhibiting company.
- The hall and stand number.
- The name and phone number of the person in charge.
- The item number: for example, "1 of 8".
- Notes such as "fragile", "do not stack" or "this side up".
General Fira de Barcelona rules state that goods sent to the venue must be properly identified and received by the client. So it's essential to have someone available and reachable during delivery.
6. Allow margin for access and waiting
The vehicle's arrival time doesn't always match the actual unloading time. There can be traffic, entry checks, a queue of vehicles, accreditation checks, or a wait until the stand is ready.
To avoid problems, we recommend:
- Booking a realistic time window.
- Sharing the stand builder's or contact's details.
- Flagging any hard deadline.
- Reporting any access change in advance.
- Keeping the phone reachable during delivery.
When a last-minute need comes up, urgent transport in Barcelona (Spanish-language page) can resolve restocking or forgotten material, subject to vehicle availability and the venue's access rules.
7. Plan the breakdown before the event starts
One of the most common mistakes is organising delivery and leaving pickup for the last minute. At the end of a trade fair, many exhibitors try to remove their material within a short window, which can cause waiting and changes to access.
Before the event, it's worth deciding:
- What material needs to go back to the warehouse.
- What will be delivered to another location.
- Who will pack and label the load.
- What time it will actually be ready.
- Who will hand the material to the driver.
- Whether boxes, pallets and protective material should be kept.
- Whether there will be several stops after pickup.
The goods should be dismantled, protected and listed before the vehicle arrives. If the transport includes both legs, it's worth preparing both in a single quote.
Common mistakes you can avoid
Not giving measurements or weight
This can mean the assigned vehicle is too small or the load exceeds its capacity.
Forgetting to request a tail lift
Without a dock, a forklift or enough staff, unloading heavy pieces without a tail lift can be impossible.
Confusing the main entrance with the logistics access
Visitors and goods vehicles usually use different routes.
Not having someone to receive the goods
The driver needs to know who's receiving, where to deliver, and what to do if the contact can't be reached.
Booking the pickup too early
The stand may still be standing when the truck arrives, causing a wait and delaying other jobs.
Not labelling the items
In venues with many exhibitors, this increases the risk of confusion, delay or delivery to the wrong spot.
Quick checklist before booking
Before requesting a quote, prepare the following information:
- Full origin of the goods.

- General photos.
- Loading equipment at origin.
- Unloading equipment at destination.
- Whether a tail lift is needed.
- Accreditation and access details.
- Contact details of the person receiving the goods.
- Return date, time and destination.
