Luggage transport for delegations and groups: moving 20, 30 or 40 suitcases between airport and hotels

An official delegation, a relocated workforce, a production crew or a group of conference delegates arrive with far more luggage than fits in a taxi. Twenty, thirty or forty suitcases, plus backpacks and bags, that have to be collected at the airport, taken to the hotel and, sometimes, moved again days later to another city.

On Set Transporte handles that leg for what it is: goods transport. It is personal belongings, many of them and of different sizes, that need a vehicle with enough space, a driver who loads with care and a schedule coordinated with flights and hotels. Why a taxi does not solve group luggage

A taxi or a private-hire car takes only a few suitcases per trip and, with a group, forces you to chain cars and journeys. The most common problems are these:

• Capacity: four or five suitcases per car; for forty you need many cars at once.
• Scattered luggage: each car goes its own way and by the time you reach the hotel some suitcases are missing.
• No count control: nobody checks how many suitcases were loaded and how many were delivered.
• Waiting at arrivals: the group comes out of the baggage hall at different times and cars cannot wait indefinitely.
• Improvisation: finding eight large vehicles at rush hour or in the early hours is the first thing that fails.

A service that has to be arranged beforehand

Group luggage cannot be improvised at the terminal. When the flight lands, the vehicle must already be waiting, of the right size and with the driver briefed on the time, the terminal and the destination hotel.

That is why we work with advance booking: you tell us the flight, the approximate number of suitcases and the hotel, and we assign the vehicle ahead of time. If the flight time changes, we adjust the pickup with the group's contact person.

Express van: the ideal vehicle for this job

A large closed-body van is the natural tool for group luggage: it can reach airport and hotel loading areas, does not depend on ramps or loading docks and lets us stow the suitcases in an orderly way. As a dedicated service, the luggage travels on its own and direct, without mixing with other cargo or passing through intermediate warehouses. Typical scenarios

Airport → hotel

We collect the luggage when the group arrives and deliver it to the hotel, so people can travel without carrying anything and find their suitcases at reception.

Hotel → hotel between cities

If the delegation moves from a hotel in Madrid to another in Valencia, we collect the suitcases at the first one in the morning and deliver them to the second before the group arrives. Hotel → event venue, trade fair or film shoot

Return: hotel → airport

We collect the suitcases at the hotel at the agreed time and deliver them at the terminal, with a departure count.

We adapt to any point and region of Spain: we collect wherever the group is and assign the nearest available vehicle, with our operating base in Caldes de Montbui (Barcelona).

How we organise it

1. You send us the origin, destination, date, arrival time or flight, and the approximate number of suitcases.
2. We confirm the vehicle and a fixed price before the vehicle leaves.
3. The driver collects at the agreed point, counts the suitcases while loading and stows them properly: rigid ones at the bottom, soft ones on top and fragile items apart.
4. We deliver to the hotel or indicated point and check the count again with your contact person.

What to prepare so everything goes well

• The real number of suitcases and any special items (instruments, cases, sports equipment).
• Flight, arrival time and terminal.
• Destination hotel and a contact person.
• A tag with name and hotel on every suitcase.
• The hours during which the hotel can receive the luggage.
• A working phone number for the group during the transfer.

Price and coverage

The price depends on the vehicle, the kilometres, the time and the expected waiting, for example at an airport. • Airport → hotel in Barcelona, L4 van, 3 hours (minimum): €75 – €83 + VAT.
• Hotel → venue with tail lift, 3,500 kg box body, 4 hours (minimum): €165 – €182 + VAT.
• Barcelona – Zaragoza (about 315 km), L4 van: €350 – €385 + VAT.
• Barcelona – Madrid (about 620 km), L4 van: €614 – €750 + VAT.

Priority departure adds 25% and night, weekend or public-holiday service adds 20%.
